The practical answer
AI can turn approved site records into a draft monthly facility management report. Define the reporting period and service measures first, require references to the input records, and have the responsible manager check every total, explanation and commitment before sharing it.
What should go into a monthly FM report?
A useful client report explains performance against the agreed service scope, the exceptions that matter, and the actions needed next. It should make the reporting period and coverage clear: which sites, which services, and which contractual measures are included.
Start with a stable structure: executive summary; service-level performance; complaints and repeat issues; preventive maintenance; inspection findings; staffing exceptions; expenditure where relevant; and an action register. AI can help organise this material, but the contract and client reporting requirements determine the content.
This is one practical application within our AI upskilling guide for facility management professionals. Begin with a draft report before attempting an automated reporting process.
Prepare the records before asking AI to write
| Input | Minimum checks |
|---|---|
| Complaint and work-order registers | Unique IDs, timestamps, status at the cut-off, site and service |
| Planned maintenance schedule | Jobs due in the period, completion evidence and approved exclusions |
| Inspection scores | Scoring method, inspection dates and comparable coverage |
| Previous action register | Owner, due date, status and evidence of completion |
Use a frozen copy of the records so a later status change does not silently alter the report. Remove information the selected tool is not authorised to process. Name the files consistently and retain a record of the versions used.
Define KPIs and reconcile the numbers
Write down each metric before calculating it. Preventive maintenance completion, for example, needs a clear denominator: the jobs due in the reporting period under the agreed rules. Ticket closure and service-level compliance are different measures and may use different timestamps.
If 50 planned jobs are due and 45 are completed by the cut-off, completion is 45 ÷ 50 × 100 = 90%. This says nothing by itself about response times, job quality or the criticality of the five outstanding jobs. Those need separate evidence.
Perform the calculations in a spreadsheet or another reproducible system. Ask AI to explain the result using those checked figures. Do not accept a plausible percentage without its numerator, denominator and treatment of missing records.
Use a prompt that separates facts from investigation
Using only the attached site records for the stated month, draft a client report with an executive summary, KPI table, exceptions and action register. Cite the source file and record ID for each exception. Use the supplied KPI definitions and checked totals. Separate confirmed facts from investigation questions. Do not invent root causes, owners, completion dates or savings. List any missing inputs.
Keep the first draft internal. If AI says a complaint was caused by understaffing, find the source that establishes that cause. If none exists, replace the claim with a question for the operations team.
Microsoft documents file-based assistance in Copilot Chat. Its ability to access company records depends on licensing, permissions and how those records are supplied; do not assume the assistant has read every relevant file.
Review, approve and measure the workflow
- Reconcile the KPI table against the frozen records.
- Check that unresolved work is still visible and that closure has evidence.
- Check the wording of service failures and client commitments.
- Confirm action owners and dates with the responsible team.
- Have the account manager approve the final version.
Compare total preparation and review time with your previous process. Also track how many factual or numerical corrections the reviewer makes. A shorter drafting stage is useful only when the final report remains dependable.

Practical questions
Can AI calculate all the KPIs for me?
It can assist, but the definitions and calculations must be checked. Retain the formulas and source rows so another person can reproduce the result.
Should the client receive the first AI draft?
Use an internal review stage. The responsible manager should approve facts, numbers, actions and commitments before the report is shared.
