The practical answer
AI can help explore overtime and attendance patterns, prepare exception summaries and suggest questions for a site review. Use authorised records, calculate the metrics consistently, and investigate context before drawing conclusions about individuals or teams.
Begin with a decision the analysis can support
“Why is overtime high?” is too broad for a reliable first analysis. A more useful question is: “Which sites have the largest difference between approved and recorded overtime this month?” It has defined inputs and a result the reviewer can check.
Other useful questions concern vacant shifts, repeated unplanned cover, or the effect of temporary additional scope. Choose a reporting period and establish whether the analysis is for cost control, deployment planning or a record-quality review.

Prepare a consistent and appropriately protected dataset
Use only the fields needed for the review. Depending on the question, these may include site, role, shift date, scheduled hours, recorded hours, approved overtime, reason code and approval reference. Use coded identifiers where names are unnecessary.
Check for duplicate rows, overnight shifts, missing clock-out times, inconsistent units and retrospective approvals. Keep personal, payroll and attendance information within the organisation's authorised tool and access arrangements.
| Measure | Definition to agree |
|---|---|
| Overtime hours | The recorded overtime hours under the organisation's approved rules |
| Approval variance | Recorded overtime less approved overtime for the same scope and period |
| Unfilled shifts | Scheduled shifts without confirmed cover at the agreed cut-off |
| Cost variance | Actual cost less comparable budget, with the rate and scope basis stated |
Keep arithmetic reproducible and use AI for questions
Calculate totals and ratios in a spreadsheet or another auditable system. Ask the assistant to identify exceptions in that checked table and explain which additional records would help investigate them.
Review this site-level table using the supplied definitions. Identify the largest overtime approval variances and missing records. Show the source rows for each finding. Do not infer misconduct, employee performance or staffing causes. List possible explanations as questions to investigate, not established facts.
Microsoft documents data analysis and visualisation capabilities in Copilot Chat. Availability and data access depend on the selected product, account and permissions.
Interpret a variance without jumping to a cause
Site A records 120 overtime hours against 100 approved hours, producing a 20-hour difference. The difference may involve an approval delay, additional work, an entry error, or work outside the agreed process.
Before estimating a cost or raising an employee concern, reconcile the shift records, approval timestamps, rates and additional-scope instructions. The number alone does not establish the explanation.
Compare like with like. A site with extended operating hours or a special event should not be ranked against an unchanged site without acknowledging the difference. Adjustments must be documented rather than silently applied by the assistant.
Turn the review into operational action
Agree actions such as correcting a record, clarifying a reason code, reviewing cover arrangements, or checking a pending approval. Keep the original data, corrections and decision notes so the review can be reconstructed.
Assess the process by the time needed to produce a checked exception report and the proportion of flagged items that prove useful. Avoid introducing employee scoring simply because a tool can generate it.
Use the reviewed site-level findings in a monthly management report. Where costs depend on contractor scope, return to the assumptions in the vendor quotation comparison.
Practical questions
Can AI automatically approve overtime?
This guide covers analysis and draft summaries. Approval should follow the organisation’s authorised process and review of the underlying records.
Does a high overtime figure prove poor deployment?
No. Additional scope, vacancies, rate changes, reporting differences and recording errors may affect the result. Investigate before concluding.
